Business Settings in FlexBookz
Learn how to configure your business details, time zone, currency, notifications and WhatsApp in FlexBookz to ensure accurate booking and communications.
Introduction
The Business Settings area in FlexBookz is where you configure the core information and preferences that define how your booking system behaves and how your business appears to customers. This includes your company details, location, time zone, currency, notification preferences, WhatsApp integration and subscription status. Correct configuration ensures appointments, reminders and pricing are accurate and consistent across your booking pages and communications.
How it Works
FlexBookz reads the values you provide in Business Settings and applies them across the platform. Examples:
Customer-facing booking pages show the Business Name, address and description you enter.
Appointment times are converted and displayed according to the Time Zone configured for the business.
All prices, invoices and POS transactions use the Currency you select.
Notifications (SMS, email, WhatsApp) use your business contact details and notification templates when contacting customers.
Settings are global for a location or account (depending on your plan). When you have multiple locations enabled, each location can have its own business settings to ensure local accuracy.
Step-by-Step Guide
1. Accessing Business Settings
Log in to your FlexBookz dashboard.
In the left-hand menu, scroll to Settings.
Click Business Settings to open the configuration panel.
2. Editing Business Information
Under the Business Details tab, complete the fields below. These values are used on booking pages, invoices and customer communications:
Business Name: The public name displayed to customers.
Street and Number: Full address for maps and directions.
City, Province, and Postal Code: Location details for local search and verification.
Country: Select the country of operation.
Business Phone: Primary contact number used in confirmations and reminders.
Business Email: Official email used for automated communication and receipts.
Website: Optional; links on booking pages to your website.
Business Description: A short summary of your services and specialties.
When finished, click Save to store these values.
3. Configuring General Settings
Open the General tab to set platform-wide preferences:
Time Zone: Choose the time zone in which your business operates. Appointment times and staff availability are presented in this time zone.
Currency: Select the currency used for service pricing, invoices and POS transactions.
Click Save after making changes.
4. Notifications, WhatsApp & Subscription
Notifications: Manage how admins and staff receive alerts about bookings (email, SMS, or both). You can enable or disable reminders and set default reminder intervals.
WhatsApp: Connect your WhatsApp Business account to send confirmations and reminders through WhatsApp. Follow the connection wizard in the tab to authorize FlexBookz.
Subscription & Usage: View your current FlexBookz plan, active features, user limits and usage metrics like monthly bookings and SMS usage.
5. Save and Verify
After saving, open your public booking page and confirm the business name, address and contact details display correctly.
Create a test appointment to verify the time zone and reminders work as expected.
Note: If you run multiple locations, update each location’s Business Settings to ensure local times, addresses and currencies are correct.
Practical Examples & Use Cases
Single-location salon: Set the salon’s local time zone and currency to ensure clients see appointment times in their region and invoices in local currency.
Multi-location chain: Configure each branch with its own address, time zone and phone number so customers book at the right location and staff schedules are local.
Remote staff across time zones: Keep the business time zone consistent; when staff are remote, use staff availability settings to reflect their working hours in the business time zone.
WhatsApp communication: Connect your WhatsApp Business account and create templates for confirmation and reminder messages (useful for markets where WhatsApp is the primary communication channel).
Tips & Best Practices
Always use an official business email address (not a personal one) for transactional messages and receipts to maintain brand consistency.
Confirm your time zone during setup — incorrect time zones are a common source of scheduling errors.
Keep your address and phone number up to date to improve customer trust and reduce no-shows (customers can contact you easily).
For multi-location businesses, verify each location’s settings to prevent double-bookings and confusion.
Monitor subscription usage (SMS, staff seats, locations) regularly to avoid hitting limits during peak periods.
Use WhatsApp for markets where it improves open rates — pair with SMS/email for redundancy.
Troubleshooting
Changes not saving: Ensure all required fields are filled. If they are, try refreshing the page or logging out and back in. If issues persist, check your browser console for errors and contact support.
Times appear incorrect on booking page: Verify the Time Zone in Business Settings. Also confirm the customer’s device/browser is not applying an unexpected timezone conversion.
Currency mismatches: Check that Currency is set under General for the correct business location — FlexBookz uses one currency per location by default.
Notifications not delivered: Verify notification templates and that contact details (phone/email) are correct. Check SMS credit balance and WhatsApp connection status under the respective tabs.
WhatsApp connection failed: Re-run the WhatsApp integration wizard and make sure the Business Manager/phone number is active and authorized. Review any error messages provided during connection.
Analytics & Reports – Monitor booking trends and usage tied to your business settings.
