This Privacy Policy explains how FlexBookz processes and protects personal data. We comply with the General Data Protection Regulation (GDPR).
2. Data we collect
We collect and process:
- Name
- Email address
- Phone number
- Business details (if applicable)
- Login credentials and account, user, customer and staff IDs
- Appointment, customer, staff and schedule data
- Location data for time tracking and supported card reader setup, only if you grant permission
- Device and push notification data, such as Expo push token, device name, platform and app version
- Purchase and payment history, such as appointment, amount, payment status and Stripe references
- User-provided content, such as customer notes, appointment notes, reasons for time off or blocks and internal comments
- Payment data via Stripe, where FlexBookz does not store card numbers, CVC codes or bank details
3. Purposes of processing
We process personal data for:
- Providing our booking software
- Billing and payment processing
- Customer service and support
- Security and fraud prevention
- Legal compliance
4. Payment processing
All payments are processed via Stripe. FlexBookz stores payment status, amount, appointment or customer link and Stripe references such as payment intent IDs, but does not store card numbers, CVC codes or bank details. Stripe is an independent data controller for payment details. See their privacy policy for more information.
5. Storage and security
- Data is stored on secure servers within the EU.
- Only the business owner and authorized staff within the account have access.
- We implement appropriate technical and organizational measures to prevent loss or unauthorized access.
6. Sharing with third parties
We only share personal data with:
- Hosting providers (to operate the software)
- Payment provider Stripe
- Push notification providers, such as Expo, Apple and Google, to deliver app notifications
We have data processing agreements in place with these parties in compliance with the GDPR.
7. Retention periods
- Account data: as long as the account is active.
- Billing data: 7 years (legal retention requirement).
- Data is deleted within 30 days of account cancellation unless required by law to retain longer.
8. Data subject rights
You have the right to:
- Access your data
- Rectify or delete your data
- Object to processing
- Request data portability
