Requesting Time Off in FlexBookz
Learn how to request and manage staff time off in FlexBookz, including start and end dates, reasons, and approval tracking.
Introduction
The Time Off feature in FlexBookz lets businesses record, review, and manage employee leave so schedules, bookings, and customer expectations remain aligned. Use it to submit full-day or partial-day leaves, log reasons, and track approvals. This centralizes staff availability and helps prevent double bookings and understaffed shifts.
How it Works
Time-off requests can be created by employees (if permitted) or by administrators on their behalf. Each request includes the staff member, a start and end date, optional start/end times for partial days, and an optional reason. Submitted requests appear in the Time Off Management overview where managers can review, approve, reject, or edit entries. Once approved, the system automatically blocks that staff member’s availability in the booking calendar so appointments cannot be scheduled during their leave.

Step-by-Step Guide
Open FlexBookz and select Time Off from the left-hand sidebar.
Click the + Request Time Off button (top-right).
In the Request Time Off modal, enter the following fields:
Employee: Choose the staff member from the dropdown.
Start Date: Pick the first date of leave.
Start Time (optional): Add a start time for partial-day leave (e.g.,
09:00).End Date: Pick the last date of leave.
End Time (optional): Add an end time for partial-day leave (e.g.,
13:00).Reason: Optionally add a reason such as Vacation, Medical, or Training.
Click Submit Request. The request status will be Pending until reviewed by an administrator.
To approve or reject: go to Time Off Management, open the request, then click Approve or Reject. You may add an internal note when rejecting.
After approval, confirm the appointment calendar reflects the blocked dates for the selected employee.
Approving multiple requests
In Time Off Management, use the bulk-select checkbox to approve or reject multiple pending requests at once. This is useful when reviewing a group of vacation requests for the same period.
Practical Examples and Use Cases
Full-day vacation: A stylist requests leave from
2025-07-01to2025-07-07. Submit the dates with no start/end times; approve to block all that staff member's shifts and prevent bookings.Half-day medical appointment: A receptionist needs the afternoon off on

Standardize reasons (e.g., Vacation, Sick, Training) to simplify reporting and trend analysis.
Use clear partial-day times for half-day leaves to avoid ambiguous blocks (e.g., use
09:00–13:00instead of vague terms).Review overlapping requests periodically to ensure you maintain adequate staff coverage for peak hours.
When approving leave, check open appointments and reassign or reschedule clients proactively to avoid last-minute cancellations.
Document internal policies (notice period, emergency leave rules) in your staff handbook and link to them from the Time Off page.
Troubleshooting
Can’t select an employee: Confirm the staff member is added in Staff Management and has the correct role and active status.
Request not visible in management view: Refresh the page or verify the submission completed. Check filters — you may be viewing a date range or location that excludes the request.
Calendar still shows availability after approval: Ensure the request was changed to Approved (not just marked as pending). If approved and issue persists, confirm the employee isn’t assigned to services in a different location.
Time appears incorrect: Verify your business time zone in Company Settings and confirm staff working hours are set correctly.
Overlapping requests for the same employee: Edit or merge entries to create a single continuous block, or cancel the incorrect request.
