What is FlexBookz?

Who can use FlexBookz?

FlexBookz is perfect for beauty salons, hair salons, nail studios, spas, barbershops, massage therapists and any service business that needs appointment scheduling. It’s designed for businesses of any size, from solo practitioners to multi‑location chains.

How do I get started with FlexBookz?

Getting started is easy! Sign up for a free 30‑day trial, create your business account, add your services and staff, configure your opening hours, and then embed our booking widget on your website. A payment method is required to start your trial, but you won't be charged during the trial period.

Is there a mobile app?

FlexBookz is currently a web‑based application optimized for mobile browsers. You can access the full dashboard from any mobile device. Native iOS and Android apps are planned for a future release.

Do you offer a free trial?

Yes! We offer a 30 free trial with full access to all features. A payment method is required to start your trial, but you won't be charged unless you continue after the trial period. You can cancel anytime during the trial without charges.

How much does FlexBookz cost?

We offer three flexible plans: Flex Start at €15/month (perfect to get started with up to 500 appointments/month), Flex Pro at €29.99/month (our most popular plan with unlimited appointments), and Flex Enterprise available on request with custom pricing (for larger businesses with multiple locations and custom requirements). All plans include unlimited staff and come with a 30‑day free trial. Contact us for an Enterprise quote.

What payment methods do you accept?

We accept iDEAL, all major credit cards (Visa, MasterCard, American Express), debit cards, and PayPal. For business customers we also offer invoicing with NET 30 terms.

Can I cancel my subscription?

Yes, you can cancel your subscription at any time from your account settings. When you cancel, you’ll retain access until the end of your current billing period. We do not charge cancellation fees.

What is your refund policy?

We offer a 30‑day money‑back guarantee. If you’re not satisfied with FlexBookz within the first 30 days of your paid subscription, please contact our support team for a full refund.

Where can I find my invoices?

All invoices are available in your account settings under the ‘Billing’ section. You can view, download and print invoices for your records. Invoices are also emailed automatically to your billing contact after each payment.

Do you offer free migration from other booking providers?

Yes! We offer completely free migration services for all new customers switching from other booking providers. Our dedicated migration team will help transfer your customer data, appointment history, services, and staff information to FlexBookz. The migration process typically takes 24 hours depending on the amount of data. We support migrations from all major booking platforms including Square Appointments, Fresha, SimplePractice, and many others. Contact our support team to get started with your free migration.

Does FlexBookz support multiple locations?

Yes! FlexBookz supports businesses with multiple locations. You can manage multiple sites from a single account, each with its own staff, services and booking calendar. Customers can choose their preferred location when booking.

How many staff members can I add?

All our plans include unlimited staff members. Whether you’re on Flex Start, Flex Pro or Flex Enterprise, you can add as many staff as you need. Each staff member can have their own schedule, services and booking calendar.

Can I customize the booking widget to my brand?

Absolutely. The booking widget is fully customizable. You can tailor colors, fonts and layout to your brand, add your logo and adapt the booking flow to your business needs.

What reports and analytics are available?

FlexBookz offers comprehensive reporting including booking trends, revenue analysis, staff performance, popular services, customer retention metrics and no‑show statistics. Export reports to PDF or CSV for further analysis.

How the booking system works for businesses and customers

How does the booking system work?

Customers can book appointments via your website using our embedded widget or a direct booking link. They select a service, optionally choose a preferred staff member, pick an available time slot and enter their contact details. Both the customer and the business receive instant confirmation.

How do I add the booking widget to my website?

Adding the widget is simple. Just copy and paste a small code snippet into your website. The widget works with any platform including WordPress, Squarespace, Wix and custom HTML sites. We provide step‑by‑step instructions and support.

Do customers receive appointment reminders?

Yes, automated reminders are sent via email and SMS (if enabled). You can customize when reminders are sent (e.g. 24 hours and 2 hours before the appointment) and personalize the message content. This significantly reduces no‑shows.

Can I set a cancellation policy?

Yes, you can configure cancellation policies including how far in advance customers can cancel or reschedule. You can also set different policies for specific services. The policy is shown to customers during booking.

Can I manage walk‑in customers?

Absolutely. Staff can block time slots for walk‑ins or quickly add walk‑in appointments from the dashboard. You can also convert time blocks into actual appointments when walk‑in customers arrive.

Which browsers are supported?

FlexBookz works on all modern browsers including Chrome, Firefox, Safari and Edge. The booking widget is compatible with browsers up to 5 years old. Mobile browsers are fully supported for both the dashboard and the widget.

Do you offer API access?

Yes, we offer a RESTful API for business customers. The API lets you integrate FlexBookz with your existing systems, build custom applications and automate workflows. API documentation is available for developers.

Can I export my data?

Yes, you own your data and can export it at any time. Export customer lists, appointment history and reports in CSV or Excel format. We also provide a full data export option if you decide to leave FlexBookz.

What integrations are available?

FlexBookz integrates with popular tools including Google Calendar, payment processors (Stripe, Square), email marketing platforms (Mailchimp, SendGrid) and accounting software (QuickBooks). More integrations are added regularly.
